If you're reading this because a client called at 4:00 PM asking for powder coating delivered by Monday morning, you're in the right place. This is not a theory post. It's a field guide from someone who has spent the last five years coordinating rush orders for industrial coatings—hundreds of them, from small $500 jobs to $15,000 emergency batches.

Here's the thing about a rush order: it tests your entire supply chain. The good news is that once you have a system, fast doesn't have to mean sloppy. What follows is the checklist I use every time I'm triaging a rush coat job. It's the difference between delivering on time and calling a client with the news nobody wants to hear.

Step 1: Get the Coating System in Writing—Before You Call Anyone

The fastest way to slow down a rush order is to start calling vendors with half the specs. I've done it. It doesn't work.

You need to complete this sentence before picking up the phone: "The part is made of [substrate], exposed to [environment], and needs [performance]." For example: steel, exterior industrial atmosphere with high humidity, and a corrosion resistance of at least 500 hours in salt spray. That's around ISO 12944 classification C3 or C4, depending on location.

If you don't have a spec, ask your coating supplier for help—but be precise about what you know and what you don't. (Should mention: the most common cause of a failed rush order isn't the coating itself, it's the incomplete spec.)

Step 2: Specify Substrate and Surface Prep

This sounds obvious, but in three rushed orders last year, the specs said "steel" without saying "blast-cleaned to Sa2.5." In this context, "steel" means nothing.

If you're not a coatings specialist, lean on your supplier. But don't skip the substrate question entirely. For powder coating, the substrate's surface conductivity and profile affect how the powder adheres. And for liquid coatings, the solvent compatibility matters.

One thing I've learned to say clearly: "We are not using this for decorative purposes." I can't tell you how often people confuse industrial powder coating with, say, eggshell paint. (And for the record: what is tempera paints? It's a fine-art medium. It has no place on a parking structure. I've watched more than one rush order fail because the coating was manufactured, but the freight was ignored. It's not enough that the powder is in a warehouse in New Jersey if your plant is in Ohio.

Step 7: Build in a Buffer—Even if It's a Mock Deadline

After a near-miss in 2023, we made a policy: internal deadline is always 48 hours before the client's deadline. That means if something goes wrong, we have time to react. Not asking about color tolerance. In a rush, you'll accept "close enough." Then the client finds out that "close enough" differs from the existing parts. Ask what ΔE tolerance the supplier works to. It should be ≤1.0 for most industrial finishes.

Confusing decorative paint with industrial coatings. Which brings me back to tempera paints. You'd be surprised how many "cost savings" ideas come from using materials that are simply not designed for the application. Use the right tool for the job, and always check the designation.
